Slack / Telegram bots for internal processes — overview

Slack / Telegram bots for internal processes — price, timeline & scope

Slack / Telegram bots for internal processes are bots in your work messengers that turn the chat into a working tool: the bot sends notifications (a new request, a payment, an error), lets you approve or reject in one tap, takes quick input (mark a status, create a task), answers queries to your data (stock, order status). We build it for your processes: we connect it to your systems, set up commands, buttons, permissions and notifications, and host and maintain the bot. The point is not to make people open yet another system for a small action: approving a leave, marking “done”, checking a status can be done right in the chat where the team already sits. Importantly and honestly: a bot is a convenient interface for simple short actions, not for complex processes. Filling in a big form, working with a spreadsheet or running a complex process in a chat is inconvenient — a panel or an app is better for that (see the respective services); a bot is good where you need to quickly press a button or ask a question, not where there are many fields and a lot of logic. Also honestly: if you only need one-way notifications, a simple integration or an automation scenario (see the “Process automation” service) is often enough — a separate bot may be excessive, and we will say so. A bot is justified when two-way interaction is needed: not only to inform, but to let someone reply, confirm, enter. And about reliability: a bot lives on a server and depends on the messenger’s API — if the server goes down or Telegram/Slack change the rules, the bot can become unavailable for a while; so we add error handling, monitoring and budget for support. Messengers also have their own limits (message-rate caps, restrictions on button and file types) — we account for those in the design. The bot token is a security key: we store it in an isolated place, restrict it by permissions, set up an access audit if needed, and define who can do what through the bot. Picture this: a request drops into a manager’s Telegram with “Approve / Reject” buttons, they tap — and everything is set in the system, without opening the admin panel. The base price starts from 45,000 ₽: a guide for a bot with 1-2 scenarios, standard integrations and basic support; a non-standard system, complex logic or higher security requirements are costed separately and higher — it depends on the number of commands, integrations and logic.

Problems we solve

  • Important events (requests, payments, failures) get lost — no one notices in time.
  • To approve or mark a small thing, you have to open a separate system.
  • The team already lives in Slack/Telegram, but you cannot do work actions there.
  • Notifications are sent by hand or do not reach the right people.

What's included in the Slack / Telegram bots for internal processes service

  • A bot in Slack or Telegram for your processes
  • Notifications about events from your systems (requests, payments, errors)
  • Action buttons: approve, reject, mark as in progress, change status
  • Commands and data queries (status, stock, search)
  • Connection to your systems (CRM, database, services)
  • Permissions: who can do which actions through the bot
  • Error handling, monitoring and hosting of the bot
  • Documentation and support

What you get

  • Important events arrive right where the team is — nothing is lost
  • Small actions are done in one tap, without opening systems
  • Approvals and statuses — right in the chat, faster response
  • Less manual sending of notifications — the bot does it itself

How the work goes: steps

  • We work through the processes and events, decide what is really convenient in a chat
  • We set up the bot, integrations, buttons, permissions and notifications
  • We test, deploy it on a server, train the team, and launch

FAQ

  • How is a bot better than a separate panel or app?

A bot is not “better” — it is for something else. A bot is convenient for quick short actions right in the chat: press a button, mark a status, ask a question. For working with big forms, spreadsheets and complex processes, a panel or an app is better (see the respective services). They are often combined: a bot for notifications and quick actions, a panel for the main work. We will advise where each fits.

  • We only need notifications — do we need a bot for that?

Often no. If the task is only to send messages one way, a simple integration or an automation scenario (see the “Process automation” service) is usually enough, and a separate bot would be unnecessary — we will honestly say so. A bot is justified when you need both to inform and to let someone reply: confirm, enter, choose.

  • Will the bot work reliably?

A bot lives on a server and depends on the messenger’s API, so no one gives an “eternal” guarantee: if the server goes down or Telegram/Slack change the rules, the bot can become unavailable for a while. We reduce that with error handling and monitoring (so you are the first to know about a failure). Basic monitoring is included, while the support mode — business hours or extended — is agreed separately. And we store the bot token carefully — it is a security key.
