Process automation — overview

Process automation — price, timeline & scope

Process automation is the automation of routine business processes: we connect your systems and services so that actions happen on their own by trigger-action rules (“if X happens, then do Y”). For example: a request comes from the site → a card is created in the CRM and a notification flies to the chat; a payment goes through → documents are generated and the status is updated; a lead appears → it is assigned to a manager. We build it on no-code platforms (Make, Zapier, n8n) or in code — where a builder cannot cope. We set up the scenarios, connections to your systems, error handling and logging. The point is to remove the manual transfer of data between services, copy-paste and forgotten steps that eat time and create errors. Importantly and honestly: it is worth automating a good process, not a broken one. If the process itself is crooked, automation will only give you faster chaos; so first we look at whether the process itself needs fixing, and we will say so directly. Also honestly about the benefit: automation is only worthwhile for frequent, repetitive tasks. Automating a one-off or rare task costs more than doing it by hand — we will calculate how much time it really saves, and if the ROI is poor, we will advise you to stay manual. And about reliability without illusions: automations are not “fire-and-forget” — when a service changes its API or a non-standard case arrives, a scenario can break; so we build error handling, failure notifications and budget for support. Platforms like Make and Zapier charge a separate subscription (usually by the number of operations) — we will factor that into the calculation. As a rough guide to the benefit: if requests are copied into the CRM by hand about ten times a day, automation saves on the order of a couple of hours a week — that is dozens of hours a year, which is what the payback is calculated on. Picture this: requests, payments and notifications spread across the systems on their own, while the team deals with people, not copy-paste. The base price starts from 60,000 ₽: a guide for 2-3 typical scenarios (for example, site + CRM + email) with basic error handling; complex chains, non-standard APIs and enterprise integrations are costed separately and higher — it depends on the number of scenarios, systems and the complexity of the logic.

Problems we solve

  • The team manually transfers data between the site, CRM, spreadsheets and email.
  • Because of manual steps, requests are lost, notifications and documents are forgotten.
  • The same actions are repeated every day and eat up hours.
  • The systems are not connected — each lives on its own, and everything is glued together by hand.

What's included in the Process automation service

  • Working through the processes and finding what is really worth automating
  • Scenarios “when X — do Y” for your tasks
  • Connections to your systems (site, CRM, spreadsheets, email, messengers, payments)
  • Choice of platform (Make, Zapier, n8n) or code where needed
  • Error handling and failure notifications
  • Logging: what fired and when
  • A calculation of time saved and subscription costs
  • Documentation and support of the scenarios

What you get

  • Repetitive steps run themselves — less manual transfer and copy-paste
  • Fewer lost requests and forgotten steps — the process does not depend on memory
  • The team saves hours on the repetitive
  • The systems are connected — data moves between them without manual hands

How the work goes: steps

  • We work through the processes, calculate what is worth automating (and what is not)
  • We set up the scenarios, connections, error handling
  • We test on real data, train the team, launch and support

FAQ

  • How is this different from Workflow tools and internal panels?

Panels and Workflow tools (see the respective services) are interfaces where a person works with data by hand, but conveniently. Process automation is about actions happening without a person: the systems exchange data by rules on their own. They are often combined: a panel for manual work plus automation of the routine around it.

  • What if our process is not well set up?

Then it is about the process first, not automation. Automating a crooked process means speeding up the chaos: errors will start multiplying faster. We will honestly look at whether the process itself should be put in order first (at least on paper), and only then automate it — otherwise the money will be wasted.

  • Is it a one-time setup or will support be needed?

The basic setup is one-time, but automations live in a changing world: services update their APIs, new cases appear, the platform charges a subscription. So we build in error handling and failure notifications, and discuss support upfront — we can maintain it ourselves or hand it to your people. “Set it and forget it” is not about automations, and we say so honestly.
